Employee Unlinking & Offboarding Guide
Secure your organization's data by properly unlinking departing employees.
When an employee leaves your organization, it is critical to revoke their access to your corporate branding and business contacts immediately. In 1Me Business, this process is called "Unlinking." This guide explains how to safely remove an employee from your organization while maintaining the integrity of your data.
What happens when you unlink an employee?
Corporate Card Deactivation: The employee's digital business card associated with your company is immediately deactivated. They can no longer share it.
Branding Removal: Any corporate templates, logos, or colors are removed from their profile.
License Recovery: The "seat" or license used by that employee becomes available again, allowing you to invite a new hire without purchasing additional licenses.
Personal Data Retention: The employee retains their personal 1Me account (if they used one), but it will be stripped of all corporate associations.
Step-by-Step Unlinking Process
1. Access the Employee List
Log in to the 1Me Business Control Panel at https://business.1me.app/.
From the sidebar dashboard, click on "Employees".
Click on the "Accepted" tab to view your active staff members.
2. Locate the Employee
Use the Search bar at the top of the list to find the specific employee by name or email.
Check the box next to their name to select them.
3. Initiate Unlink
Once selected, click the "Unlink" button (usually located in the action bar above the list, or in the "Actions" dropdown menu next to their name).
4. Confirm Action
A warning confirmation pop-up will appear: "You are about to unlink [Employee Name]. This will revoke their access to corporate templates. Do you wish to continue?"
Click "Confirm" or "Proceed" to finalize the action.
Best Practices for Offboarding
Unlink Immediately: Make unlinking a standard part of your company's exit checklist (along with collecting laptops and keys) to prevent unauthorized sharing of your brand.
Retrieve Smart Tokens: If the employee was issued a physical NFC Smart Token, ensure it is returned.
Admin Tip: Go to the "Smart Tokens" tab and "Unassign" the token from that user so it can be wiped and given to a new employee.
Review Analytics: Before deleting the user record entirely, check their analytics to see if they had any pending leads or high-value contacts that need to be followed up on by a manager.
